Return and Refund Policy

Return & Refund Policy

Effective Date: January 2, 2025

Updated Date: July 15, 2026

Cardinal Fire Protection LLC ("Cardinal Fire Protection," "Company," "we," "our," or "us") is committed to providing professional fire protection inspection, testing, maintenance, repair, installation, and related services. This Return & Refund Policy explains how refunds, cancellations, deposits, and product returns are handled.

1. Service-Based Business

Cardinal Fire Protection LLC primarily provides professional services. Because our services involve labor, scheduling, inspections, travel, custom work, and code compliance, they generally cannot be "returned" in the same manner as retail products.

2. Estimates

Quotes and estimates are provided based on the information available at the time they are prepared.

Final pricing may change due to:

  • Site conditions
  • Code requirements
  • Customer-requested changes
  • Additional deficiencies discovered during inspection or service
  • Material availability
  • Changes in project scope

Any pricing changes will be communicated before additional work is performed whenever reasonably possible.

3. Deposits

If a deposit is required, it reserves scheduling, labor, and materials for your project.

Unless otherwise stated in a written agreement:

  • Deposits may become non-refundable once materials have been ordered, custom products have been manufactured, permits have been obtained, or work has begun.
  • If no project costs have been incurred, Cardinal Fire Protection LLC may, at its discretion, issue a full or partial refund.

4. Cancellations

Customers may request cancellation by contacting Cardinal Fire Protection LLC.

If work has not started and no project expenses have been incurred, a cancellation may qualify for a refund.

If work has already begun, or materials have been purchased, the customer remains responsible for payment for:

  • Labor already performed
  • Materials ordered or used
  • Permit fees
  • Third-party costs
  • Other project-related expenses incurred before cancellation

5. Completed Services

Because professional services cannot be returned after completion, completed inspections, testing, maintenance, repairs, emergency service calls, and labor charges are generally non-refundable.

If you believe services were not performed correctly, please contact us promptly so we may review the matter.

6. Products and Equipment

If Cardinal Fire Protection LLC supplies products or equipment, returns may be accepted only if:

  • The item is unused
  • The item is in its original condition
  • The item is returned within thirty (30) days of delivery (unless a different period is provided in writing)
  • The item is not a custom-order or special-order product

Returned products may be subject to manufacturer restocking fees, shipping charges, or handling fees where applicable.

7. Custom and Special-Order Materials

Custom-built, fabricated, programmed, or special-order materials generally cannot be returned or refunded unless required by applicable law or due to a verified manufacturer defect.

8. Manufacturer Warranties

Certain products may be covered by manufacturer warranties.

Manufacturer warranty claims remain subject to the manufacturer's terms and conditions.

Cardinal Fire Protection LLC does not extend warranties beyond those expressly provided in a written agreement or required by law.

9. Damaged or Incorrect Products

If you receive a damaged or incorrect product supplied by Cardinal Fire Protection LLC, please notify us within five (5) business days of delivery.

We may, at our option:

  • Replace the item
  • Repair the item
  • Exchange the item
  • Provide another appropriate resolution

10. Refund Processing

Approved refunds will generally be issued to the original payment method.

Processing times depend upon the financial institution or payment provider and may take several business days after approval.

11. Chargebacks

Customers agree to contact Cardinal Fire Protection LLC before initiating a payment dispute or chargeback.

If a billing error has occurred, we will make reasonable efforts to investigate and resolve the issue promptly.

Nothing in this section limits any rights you may have under applicable law.

12. No Waiver of Legal Rights

Nothing in this Return & Refund Policy limits rights or remedies that cannot be waived under applicable federal, state, or local law.

13. Policy Changes

Cardinal Fire Protection LLC reserves the right to update this Return & Refund Policy at any time. Changes become effective when posted on our website.
